Your tasks
My Tasks brings together work assigned to you across the workspace. Use it to find what needs attention, then open the related page to review or complete the item. Tasks are different from notifications: reading an update does not complete the work.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read your assigned tasks and open/overdue counts
Own task-list access requires authentication, not an inbox or administrator permission. Visibility depends on direct assignment, eligible permissions or supported delegation.
Role and permission labels
Typical responsibility: Signed-in account holder. Role names alone do not grant access.
- Review or complete a task in its related workflow
There is no universal task-completion grant. The source operation requires its documented permissions, ownership/assignment and status checks; see the corresponding guide.
Role and permission labels
Typical responsibility: Eligible assignee or reviewer. Role names alone do not grant access.
Demo screenshots may show broader access than your account.
Find assigned work
Open Tasks in the sidebar. Review Task, Type, Due, Status, Assigned and Completed. The sidebar count summarizes your open and overdue tasks; filters can make the visible list narrower than that summary.
The demo shows a fictional new-starter journey task assigned to the current account through its linked employee. A task title can describe work outside the task list itself; use its related workflow to establish what actually needs to be done.
Review task details
Select View task. Check the type, current status, employee where shown, due date, completion time and outcome before opening the source record.
The demo row displays Pending while its detail describes the task as Open. Both indicate outstanding work in this view. The task has no completion time or outcome yet.
- Identify the correct item
Read the title, type and related employee. Check the due date before deciding which task to handle first.
- Open the source workflow
Use Open details. Review the current record and its available actions. Your access, assignment and the record's state are checked on that page.
- Perform the actual work
Follow the relevant guide for completing a journey task, reviewing a request or acknowledging a memo. Opening the task does not perform that action.
- Verify completion
Check the source workflow's result, return to Tasks and refresh. Use the completed/done status view to inspect the completion time and outcome.
Filter and sort
Use Filter records → Status to switch between outstanding and completed work. Use Sort records to prioritize due, assigned or completed time where offered. Review filter chips and Reset when you need the wider view, then Refresh tasks to reload it.
Completed outcomes can include Approved, Rejected, Cancelled, Reassigned, Acknowledged, Expired or Completed. A closed task is not always a successful approval; read its outcome and the current source record.
Understand who receives tasks
Tasks can be assigned directly to your user account or linked employee, made available through a specific permission, or shown through an eligible active approval delegation. The source workflow determines which assignment applies.
A delegation does not cover every task type. Personal memo acknowledgements and individual journey work, for example, are not automatically transferable through approval delegation. A review task can be withheld from the person it concerns or from someone excluded by an independent-approval rule, even when that person holds broad permissions.
See Approval delegations and the guide for the source operation rather than assuming every manager or administrator sees the same tasks.
Interpret due and overdue status
An open task becomes overdue when its due time has passed in the workspace's configured timezone. A date shown as today does not, by itself, tell you whether its due time has passed. For example, leave approval tasks can become overdue at midnight on the first day of leave. Completed tasks are not overdue.
When a task looks stale or missing
Task updates arrive from the source workflows. After completing an action, refresh and allow the update to arrive before trying the action again. If the item remains inconsistent, give an authorized administrator its title, type, related record and completion result.
Older completed entries can be removed according to workspace retention settings. My Tasks is a work queue, not a permanent activity archive. Do not create duplicate source records to replace an unexplained missing task.
Useful source guides include Employee journeys, Review leave requests, Review employee timesheets and Memos.
Troubleshooting
| Problem | What to check |
|---|---|
| No task is visible | Check status filters, assignment, employee linking and current source state. |
| Sidebar count differs from the table | The table may have filters; counts summarize open and overdue work. |
| Open details is unavailable or denied | Source access and workflow eligibility remain separate from task-list access. |
| A task concerns your own request | Independent-review rules can exclude you; use the authorized reviewer workflow. |
| Completed work remains open | Refresh and investigate source completion and update processing before repeating an action. |
| A completed task says Rejected or Cancelled | Done means closed, not necessarily approved or successful. |
What was verified
The populated My Tasks list, assigned journey-task details and Status filter menu were inspected in light theme. Three screenshots reuse the shared viewer. No task or source action was completed and no contract was signed. Completed/overdue examples and restricted employee access were not live-tested.
