Organization Activity log
Use the Organization Activity log to investigate department and position changes. It records creation, updates, activation, deactivation and soft deletion, with the recorded actor, time and changes.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read/filter department and position events, compare changes and export the loaded page
audit.readIndependent of organization.read and organization.manage. Shared settings/calendar/holiday changes are outside this log.
Role and permission labels
Typical responsibility: Authorized organization investigator. Role names alone do not grant access.
- Read the service Activity log
- Read current departments or positions separately
organization.readCurrent writes require organization.manage; settings changes require organization.settings.manage. Audit access grants neither.
Role and permission labels
Typical responsibility: Authorized organization reader. Role names alone do not grant access.
- Read organization settings and structure
Demo screenshots may show broader access than your account.
Know the history's scope
Open Organization → Activity log. Read Action, Entity type, Occurred, Actor, Entity, Subject and Changes together. The demo contains ten department and position events.
Find the event
- Identify the affected record
Open Filter records and narrow Entity type and Entity to the department or position you are investigating.
- Choose action and caller context
Use Action and Actor where helpful. Subject identifies the event's recorded subject; it is not automatically an employee or the person who acted.
- Set the date range
Use From date and To date and compare full occurrence times. Keep the end on or after the start.
- Check filters and pagination
Review the remaining chips and pages. Remove filters or Reset if the results are too narrow. A failed request is different from an empty history.
Inspect the exact references
Select an event and open Details. Review its Action, Actor, Entity type, Entity, Subject and recorded IDs. Keep the Event ID when asking an authorized administrator to inspect the same occurrence. Friendly names help reading, while IDs identify the exact record.
The current name or state of a record can differ from its historical context. Reading an event does not reactivate, restore or modify the department or position.
Compare recorded values
Open Changes, search fields or values when needed and expand Compare. Read Before and After together.
The demo position's Is Active field changes from false to true, recording activation. This event does not establish its state forever; inspect later history and the current position separately. A creation event can have no previous value, and the Changes count refers to recorded fields rather than affected employees.
| Action | What it records |
|---|---|
| Created | A new department or position. |
| Updated | A change to recorded fields. |
| StatusChanged | Activation or deactivation; inspect Is Active to identify the direction. |
| SoftDeleted | A record was soft-deleted. This is not a restore action. |
Export the loaded page
Export page CSV exports the currently loaded page of filtered events. Review filters and pagination before exporting. It is not a complete workspace-history export or a replacement for inspecting Before and After in the comparison view. Store and share exported history according to your organization's rules.
Check current records separately
Use Departments or Positions to review the current record and its available actions. For shared policies, see Organization settings; for holiday records, see Holidays.
Troubleshooting
| Problem | What to check |
|---|---|
| The log is unavailable | audit.read is separate from organization reading and management. |
| A settings or holiday event is missing | Those changes are outside this department/position log. |
| StatusChanged does not say which direction | Expand the Is Active comparison. |
| Current status differs from the event | Look for later events and inspect the current record. |
| A reference is not an employee | Read Entity type and Subject context; departments and positions have their own IDs. |
| CSV contains only some events | Export page CSV covers the loaded page, not every matching page. |
What was verified
The populated ten-event list, filters, position-status event Details and expanded Is Active comparison were inspected in light theme. Four screenshots use the shared viewer. No export or organization write was performed. Restricted-account audit access was not tested.
