Holidays

Holidays tell the workspace which dates to exclude from working-day calculations. Keep the list accurate before colleagues plan leave. A holiday can apply once or repeat on the same month and day each year.

Access needed

Access depends on your assigned permissions and workflow scope.

Read, search or filter holidays
organization.read

Role and permission labels

Typical responsibility: Employee or authorized reader. Role names alone do not grant access.

  • Read organization settings and structure
Add, edit, delete or copy holidays; change the work calendar
organization.settings.manage

Copying also reads the holiday list and needs organization.read. Paid/unpaid treatment is not a holiday field.

Role and permission labels

Typical responsibility: Workspace administrator. Role names alone do not grant access.

  • Manage workspace settings, calendar and holidays

Demo screenshots may show broader access than your account.

Find the holiday list

Open Attendance → Holidays. The list shows the holiday name, stored date, and recurrence: Once or Every year. The same holiday settings are also available in organization settings; these are shared records, not separate calendars.

Review workspace holidays
Recurrence distinguishes annual dates from one-time holidays.

Reading holidays and managing them require different access. If you can read the list but cannot add or edit a holiday, ask your workspace administrator for the access needed for your task. Do not create a leave request to represent a workspace-wide holiday.

Add a holiday

  1. Open Add holiday

Select Add holiday and enter a clear Holiday name. Use the name colleagues will recognize; the limit is 200 characters.

  2. Choose the actual date

Select Date. Only one holiday can be saved for a given calendar date. If two occasions share a date, review the existing entry rather than adding a duplicate.

  3. Set recurrence deliberately

Turn on Repeat annually only if the holiday always falls on the same month and day. Leave it off for a one-time event or a holiday whose date changes from year to year.

  4. Save and verify

Select Save holiday, wait for the editor to close successfully, and check the name, date, and recurrence in the list. If saving fails, read the error and correct the entry before trying again.

Add an annual holiday
Choose recurrence deliberately before saving.

The screenshot shows a New Year’s Day example. Enter the dates approved for your own workspace, rather than copying the example.

Search, filter, and sort

Use Search holidays… to find a name. Open Filter to narrow the list by Date / stored year or Recurrence. Remove a filter chip or use Reset to broaden the view again. Use Sort, column options, and the bottom pagination controls when needed.

Understand the stored year
Clear the year filter to include recurring entries saved in earlier years.

The year filter matches the year of the stored date, not every year in which an annual holiday applies. For example, an annual holiday saved as November 20, 2026 still applies on November 20 in later years, but filtering the list to 2027 hides that 2026 entry. Clear the year filter to include recurring holidays saved in earlier years.

A filtered list with no matches does not mean the workspace has no holidays. Clear search and filters before adding an entry you believe is missing.

Edit an existing holiday

Open the row or its Edit action. Review the name, date, and Repeat annually, make the required change, then select Save holiday. Saving is unavailable until valid changes exist. Check the updated row afterwards.

Update a holiday
Review the date and recurrence as well as the name.

Changing an annual holiday changes the shared recurring definition. Check the intended effect with the people responsible for the calendar before moving its date or changing recurrence.

If a holiday was added in error, use its row action to delete it and read the confirmation carefully. Deleting removes its exclusion from working-day calculations. There is no restore workflow described here; do not delete a valid holiday simply to hide it from a filtered view.

Copy one-time holidays to next year

Use Copy to next year to prepare the following year's one-time entries. Annual holidays already apply next year and are excluded from copying.

  1. Choose the source year

Select Copy to next year, choose Copy from year, then select Review holidays. Available source years come from saved one-time holidays.

  2. Review each proposed entry

Check Include this holiday, Holiday name, and New date for every row. Moving holidays need their actual next-year date; keeping the same month and day is not necessarily correct. Resolve duplicate-date warnings before saving.

  3. Save the selected entries

Select Save selected holidays and wait for the per-holiday results. Each copy is saved separately as a one-time holiday. The original remains unchanged.

  4. Check partial results

Review saved, failed, and need-checking counts. Use Retry failed holidays only after correcting failures. Check uncertain results in the list before taking further action; do not repeat entries already saved.

Review next year
Annual holidays are excluded because they already apply next year.
Check saved results
The successful copy is locked against duplicate submission.

Closing an unfinished review can ask you to discard unsaved selections and results. Holidays already saved remain saved. After closing, check the target year's list to confirm the final dates.

What employees need to know

Employees do not need to add a separate personal holiday for a shared workspace holiday. Holiday dates contribute to working-day leave calculations and can appear as context on a timesheet. Check the calculated days when requesting leave, and ask HR about a missing or incorrect holiday.

A holiday does not record attendance or automatically create a holiday-pay premium. If you work on a holiday, follow Attendance for employees to record actual time. Managers can use Review employee timesheets to check the resulting week.

See holidays on the calendar

Open Leave → Calendar and move to the month you want to review. Holiday labels are date context, separate from employee leave requests. Filtering by employee or leave type does not remove the workspace holiday labels. On a small screen the calendar uses an agenda, so dates with holidays remain visible even without leave requests.

The following captures show the updated local application preview with the saved demo workspace data. This calendar display update still needs release to the hosted application.

Holiday dates on a small screen
The mobile agenda includes holidays even when no leave requests exist on that date.

Holiday records do not have a paid/unpaid setting. Do not use a holiday name as evidence of payment treatment. Paid and unpaid leave are configured through leave types and the applicable policy; public holidays and personal leave are different records.

Troubleshooting

ProblemWhat to check
A recurring holiday is missing from a later-year listClear the stored-year filter and check the original saved date.
Saving says the date already existsFind the existing holiday for that date and edit it if appropriate.
Add or edit actions are unavailableCheck your access to manage organization settings. Read access alone does not allow changes.
Copy from year has no choicesCheck that there are saved one-time holidays. Annual holidays are not copied.
A moving holiday has the wrong next-year dateCorrect New date during review rather than accepting the same month and day automatically.
Only some copies savedKeep successful entries, resolve failed rows, and check uncertain results before retrying.
The list fails to loadRead the error and use Try again. A failed request is different from an empty list.
