Leave calendar
The Leave calendar helps you see who has requested time away and which dates are approved. It shows leave on working days within your permitted scope. Use it for planning coverage, then open the request when you need its full details or approval history.
Access needed
Access depends on your assigned permissions and workflow scope.
- View your own or direct-team calendar
Sign in with an account linked to an employee. Team scope contains yourself and direct reports; a caller without reports sees only their own requests. Delegation does not widen the reporting team.
Role and permission labels
Typical responsibility: Employee or direct manager. Role names alone do not grant access.
- View Organization or Department coverage
leave.requests.readDepartment scope needs a selected department. The department picker separately reads organization data with organization.read. Calendar access does not grant review actions.
Role and permission labels
Typical responsibility: HR or authorized reader. Role names alone do not grant access.
- Read employee leave requests
- Open a full request from its calendar preview
You can open your own request through your employee link; reading another employee’s full request needs leave.requests.read. Team-calendar visibility alone is insufficient.
Role and permission labels
Typical responsibility: Request owner or authorized reader. Role names alone do not grant access.
- Submit from Request leave
leave.requests.submitYour own request needs an employee link. Submitting for another employee also needs leave.requests.manage. All normal date, type and balance checks still apply.
Role and permission labels
Typical responsibility: Employee or authorized HR. Role names alone do not grant access.
- Submit and maintain leave requests
Demo screenshots may show broader access than your account.
Choose the right scope
Open Leave → Calendar and check Calendar scope before interpreting the result. The choices depend on your account.
| Scope | What it includes |
|---|---|
| My calendar | Your own requests when you have no direct reports. |
| My team | Your requests and those of your direct reports. A delegation does not add the delegator's team to your reporting team. |
| Organization | Permitted leave across the workspace. |
| Department | Permitted leave in the department you select. Choose a department before expecting results. |
A manager's team scope is based on reporting assignments, not every employee they can name in a selector. Organization and Department are broader read views; neither grants approval authority.
The example account's My calendar contains its own Pending request. The organization view also includes another fictional employee's Approved request. The screenshots illustrate scope, not a promise that every employee can open the organization view.
Move to the period you need
Use Today to return to the current period and the previous/next arrows to move through periods. On desktop, the mini-calendar also helps select a date. Check the main calendar's displayed month or range after navigating.
Open Calendar view to choose Month, Week, Day, or Agenda. Month helps scan coverage; Week and Day focus on a smaller period; Agenda lists the dated entries without a month grid.
A multi-day request can appear on several working dates. That does not mean several separate requests were submitted. The sidebar's Leave this month summarizes distinct requests and employees in the visible month, while the main view shows their dated entries.
Read colors and status
Colors identify leave types. A dashed outline identifies Pending leave; inspect the entry's status when in doubt. Pending is a request awaiting review, not approved time away.
Approved leave remains subject to the recorded dates and any permitted later cancellation. Rejected or Cancelled requests do not appear as current Pending/Approved calendar coverage; use the request list or employee History to investigate past outcomes.
The calendar shows working-day coverage. It does not prove clocked attendance, a completed payslip, or a payment.
Inspect a request
- Select a dated entry
Open an employee's leave chip in the calendar or the monthly sidebar list. Read the employee, leave type, date or range, and status in the preview.
- Open the full request when permitted
Select Open request when offered. Review the full dates, working-day count, reason, approval flow, and history. A chip can represent one day of a longer request, so do not infer the full range from that one date.
- Use the appropriate workflow
Follow Request leave for your own changes or cancellation. Eligible reviewers use Review leave requests for decisions. Simply opening a calendar entry does not approve it.
Viewing a colleague's team-calendar entry does not necessarily allow opening their full request. If Open request is unavailable, retain the scoped information shown and ask the appropriate reviewer rather than seeking another account.
Narrow the calendar
Open Filter and choose Leave type or Employee. The available choices follow the loaded period and your access. Read the active chips, remove one to broaden the view, or use Reset to clear these filters.
An empty filtered calendar does not mean nobody is away. Check the period, scope, department, employee, and leave type. A failed load is different from a successfully loaded view with no matching leave; read the error and use Retry where offered.
Understand holidays and missing dates
A request's first and last dates can span a holiday or non-working day without creating a leave entry on that day. In the example, a November 4–6 request appears on November 4 and 6: the workspace holiday on November 5 is excluded, leaving two working days.
Check Holidays for the shared date settings and the holiday-label display preview. The hosted calendar captures in this guide show leave entries; the separate holiday-label update is shown as a local application preview until it is released. Neither holiday names nor calendar colors establish paid/unpaid treatment; that comes from the leave type.
Missing calendar entries alone do not establish an absence or an attendance conflict. Check the request's recorded status, applicable working days, and period before investigating further.
On a small screen
The calendar uses a dated list on smaller screens. Open Calendar details to reveal the mini-calendar, request action, and monthly summary that appear in the desktop sidebar. The scope, Filter, and Calendar view controls remain available.
Open a chip to inspect its status, as on desktop. Use the period arrows and check the heading before interpreting an empty list.
Start a request from the calendar
Use Request leave when offered, including within Calendar details on smaller screens. It opens the normal request form; viewing the calendar does not reserve dates. Follow Request leave to choose dates, check the working-day preview and any balance warnings, submit, and verify the recorded status.
Troubleshooting
| Problem | What to check |
|---|---|
| Organization or Department is unavailable | These scopes need broader leave-read access; use your permitted own/team view. |
| Department view has no results | Select the intended department, then check the period and filters. |
| A colleague is absent from My team | Check direct reporting assignments. Delegated approvals do not change the reporting team. |
| A request appears on several dates | One request can have several working-day entries. Open it for the full range. |
| A date inside the request is missing | Check holidays and non-working days before assuming the request is incomplete. |
| Open request is unavailable | Calendar visibility is separate from full request access. |
| The desktop sidebar is missing on a phone | Open Calendar details. |
| Calendar load fails | Use Retry and distinguish the error from an empty result. |
