Employee change requests

Change requests let employees ask for updates to their own personal information. Some sections can apply immediately under workspace settings; others wait for an authorized reviewer.

Access needed

Access depends on your assigned permissions and workflow scope.

Submit, track or cancel your own pending change

Sign in with an account linked to your employee record. This grants only your permitted own-data scope.

Role and permission labels

Typical responsibility: Employee. Role names alone do not grant access.

Review, approve, reject or restore review tasks

  • Review personal-information changes

Document access and upload scope are separate from submitting a personal-information request.

Before you start

Self-service requires an account linked to your employee record. Open your own Profile → Change requests. If Profile shows Access required or cannot find your employee record, ask your administrator to check the account link and access. Opening another employee's record does not let you submit a self-service request as them.

Reviewing other people's requests requires separate review access. Reviewers use Employees → Change Requests.

Choose the information to change

SectionWhat it covers
ContactMain phone, alternate phone, and personal email. This does not change your sign-in email.
AddressYour full address, including the required street.
Emergency ContactsThe full contact list, including all contact types.
DependentsThe full dependent list.
Bank AccountBank name, account holder name, and account number.
Mobile MoneySupported provider and phone number.

Submit your request

  1. Choose a section

In your Profile's Change requests tab, choose Section to change and select Request change. Check that it is the section you intend to replace.

  2. Review the complete information

Update the prefilled details and check unchanged fields too. Keep intended contacts and dependents in the list. The request supports up to 10 contacts or 20 dependents.

  3. Add supporting documents when needed

Use the available document controls to upload or select appropriate evidence. Up to 10 supporting documents can be attached. Document availability depends on your access; do not include unrelated personal information.

  4. Review changes before submission

Select Review changes and check the proposed values. Use Back to correct them or Cancel to discard the draft. Select Submit request only when the complete section is correct.

  5. Check the result

Wait for the response, then check the request status. Applied means the information has changed. Pending means it is waiting for review. Verify your profile after a request is applied.

Prepare an address request
Keep every value that should remain in the complete replacement section.
Review before submitting
Use Back to correct the draft or Submit request to send it.

You can have only one pending request for the same section. If you need to correct it, open the pending request and use Cancel request, then prepare a new one. You cannot cancel a request that has already been applied, rejected, or cancelled. An unchanged submission is not accepted.

Track your requests
Submission can result in Pending or Applied, depending on workspace settings.

Open View request to compare the original and requested values. The pending address example below has not changed the employee's stored address.

Compare before and requested values
The existing address is unchanged while this request remains pending. Cancel request withdraws your pending request.

Bank and mobile money requests

These sections require a sign-in completed with multi-factor authentication. If asked, sign out and sign in using the required verification step, then return to your request. Do not disable verification to bypass the requirement.

For a bank account, enter all required details. Account numbers accept 6–34 letters or digits; spaces and hyphens are removed. Review the account holder and bank carefully. Full account numbers are masked in the request and profile displays.

For Mobile Money, choose a supported provider and verify the destination phone number. A payment-detail request can trigger a security notification, including when it applies immediately. Contact HR if you receive a notification for a change you did not request.

Understand the status

StatusMeaning
PendingSubmitted and awaiting an authorized review.
AppliedThe requested information has been saved, either immediately under workspace settings or after approval.
RejectedThe reviewer declined the request. Open it to read the reason before preparing another request.
CancelledYou withdrew the pending request. Its proposed changes were not applied.

Workspace settings determine which sections apply immediately. Do not assume your request needs approval, or that submission itself changed your profile; check its recorded status.

Review employee requests

Open Employees → Change Requests. Use Filter to narrow by Employee, Status, or Section, and use Sort as needed. An empty queue means no requests match the current view; remove filters before assuming there are none.

Review queue
This example includes a pending address request and a contact request applied by workspace settings.
Filter requests
Use status, section and employee filters to focus the queue.
  1. Open the correct request

Check the employee and section, then open the row. Compare the previous and requested values and inspect supporting documents when available.

  2. Make the decision

Select Approve and apply only when the complete replacement is correct. This action applies the change. To decline, select Reject, enter a meaningful reason within 500 characters, and select Confirm rejection. Use Back to leave the rejection form without rejecting.

  3. Verify completion

Check the resulting status. Approval should show Applied; rejection should show Rejected with the reason. Wait for the result before taking another action.

Reviewers cannot approve or reject their own requests. If the employee information changed after submission, approval can be refused because the request is stale. Review the current record, reject the outdated request with an explanation, and ask the employee to submit a fresh one. If another reviewer acted at the same time, refresh and check the recorded outcome before retrying.

On a phone

The review queue and filters remain available on a smaller screen. Read the whole request and any comparison fields before deciding; scroll horizontally when a comparison is wider than the screen.
