Upload documents
Upload a general workspace file or attach files to an employee. Check every file and its intended recipient before saving: a batch shares its category, description and employee attachment, while each file keeps its own document name.
Access needed
Access depends on your assigned permissions and workflow scope.
- Select files, review and upload or retry failed uploads
documents.uploadThe workspace plan must include Documents and have storage capacity. Upload-only access does not require documents.read.
Role and permission labels
Typical responsibility: Authorized uploader. Role names alone do not grant access.
- Upload documents
- Choose an employee attachment
documents.uploadThe employee picker additionally needs employees.read; restricted directory access may show an employee-reference field instead. Every file in the batch shares the attachment.
Role and permission labels
Typical responsibility: Authorized uploader. Role names alone do not grant access.
- Upload documents
- Verify saved workspace files
documents.readEmployees can instead verify their own active attachments using their linked employee account without library-wide read access.
Role and permission labels
Typical responsibility: Authorized library reader. Role names alone do not grant access.
- Read workspace documents
- Correct saved metadata or delete a file
documents.manageBrowsing the library separately needs documents.read. Editing cannot replace the file or change its employee attachment. Deletion is permanent.
Role and permission labels
Typical responsibility: Document administrator. Role names alone do not grant access.
- Manage documents
Demo screenshots may show broader access than your account.
Prepare the files
Open HR Documents → Documents → Upload documents. If your account permits uploads but not library reading, use the upload action offered on the upload-only screen.
The current uploader accepts up to 25 files, 20 MB per file, and 100 MB total per selection. Use genuine PDF, PNG, JPEG, DOCX, XLSX, UTF-8 TXT or CSV files. Empty files, unsupported formats and files whose contents do not match their extension can be refused. Macro-enabled Office packages are not accepted. Workspace storage capacity also applies.
Choose files and readable names
- Select the files
Drag files into the upload area or select Choose files. Check the selected list before continuing.
- Name each document
Review each Document name field. Replace file-name-style text with a name that employees and HR can recognize. The document name can differ from the original file name and must be no more than 500 characters.
- Resolve selection problems
Remove unwanted or invalid files and choose corrected versions. Read the message beside each file; an invalid file is not ready to upload.
- Continue to the details
Select Continue when the selection is ready. Choosing files alone does not save them to the workspace.
Set shared details and recipient
Choose Category, attach an employee if needed, and enter a helpful Description. Category is required by the current upload form. Choose a suggested or existing category, or use its Add new category option. Keep category names consistent so that readers can filter files reliably. Category names allow up to 200 characters; Description allows up to 2,000.
Leave Attach to employee blank for a general document. When an employee picker is available, verify the name and employee number. With restricted directory access, the form may instead ask for an Employee reference; obtain the correct reference from HR rather than entering an employee number or guessing.
Review and upload once
Select Review upload. Check how many files are ready, the names, category, description and visibility. If the review shows an employee reference, confirm it against the employee selected in the previous step. Use Back to correct mistakes before saving.
Select Upload documents once. Keep the window open while files are uploading. Each file is saved separately, so a batch is not an all-or-nothing operation.
Read the result for every file
Review the status beside each file and the Uploaded, Failed and Invalid counts. Select Done only after checking the results.
An attached text file may offer Download rather than Preview. Use a suitable application to read formats without an in-app preview. See Documents overview for employee access and safe downloading.
Handle partial results without duplicating files
After an upload attempt, shared batch details and names are locked for that attempt. If you need different details or corrected source files, check which files already succeeded, close the current queue, then start a new upload containing only the files still needed.
If access is denied during a batch, uploads stop. Close the window and ask your administrator to check access before making a new queue for files that were not sent. If a connection fails or the result is uncertain, inspect the library or ask an authorized reader to check before uploading another copy.
Correct a mistake carefully
Editing a saved document can change its name, category and description, but cannot replace the stored file or change its employee attachment. Ask authorized HR staff to follow the appropriate correction process.
Troubleshooting
| Problem | What to check |
|---|---|
| Continue or Review upload is unavailable | Check selected files, document names, required category and validation messages. |
| The recipient differs between files | Separate them into different batches; attachment details apply to all selected files. |
| A renamed extension still fails | Convert the file properly; renaming does not change its contents. |
| Storage is full | Ask the workspace administrator to review capacity and retention; do not repeatedly submit the same files. |
| Only some files uploaded | Keep successful entries. Read failed/invalid messages and retry only the files still needed. |
| The employee cannot see an upload | Check that the save succeeded and the correct employee was attached; clear filters in My Documents. |
| The form says access was denied | Check upload permission, sign-in and plan availability before starting another queue. |
