Approval delegations
Delegation lets an eligible colleague handle selected approvals on your behalf while you are away. Choose the person, dates, and approval types carefully. It does not transfer ownership of your employee record or replace a workflow's other checks.
Access needed
Access depends on your assigned permissions and workflow scope.
- View, give or remove your own delegation
Sign in with an account linked to your employee record. This grants only your permitted own-data scope. The delegate must be active, scopes and dates must apply, and nobody can delegate to themselves. The delegate still needs the relevant workflow review access.
Role and permission labels
Typical responsibility: Linked employee or manager. Role names alone do not grant access.
- Create a delegation for someone else, remove it, or republish delegations

- Manage other employees’ delegations
Demo screenshots may show broader access than your account.
Before you start
Both the employee giving coverage and the delegate must be active. You cannot delegate to yourself. Confirm the colleague is available and has the access needed for the selected workflow. For leave, choose someone who can already review leave requests; delegated manager review does not replace HR's final decision.
Your own delegation list requires an account linked to your employee record. HR needs separate delegation-management access to arrange coverage for someone else. Ordinary employee-edit access is not enough.
Arrange your own coverage
Open Profile → Approval delegations. The page shows current and upcoming coverage you have given or received. Select Delegate approvals to prepare a new arrangement.
- Choose the delegate
Select the colleague who should cover your approvals. Choices depend on your permitted employee information. Contact HR if the intended person is not available; do not select a substitute just to complete the form.
- Set the start and end dates
Both dates are inclusive. The end date must be on or after the start and cannot already be in the past. Check the full period rather than just the first day.
- Choose approval types
Select only the coverage needed. All approvals (including job changes) includes all supported types; it is broader than a single checked workflow.
- Review and create
Add a useful optional note, up to 500 characters. Check the delegate, dates, and types, then select Create delegation to grant the coverage. Wait for success and review the recorded details. Choose Cancel to discard the draft.
Understand the approval types
| Selection | Coverage |
|---|---|
| Leave approvals | The delegated manager-review stage for leave. |
| Timesheet approvals | Eligible timesheet approvals. |
| Offer approvals | The relevant hiring-manager offer approval step. |
| Shift approvals | Eligible shift-swap and open-shift-claim approvals. |
| All approvals | Every supported approval type, including the manager step for job changes. |
Delegation does not bypass self-approval restrictions, permission requirements, or separate approval steps. The original approver keeps their review access. Journey tasks do not use approval delegations.
You cannot create overlapping date ranges for the same employee and overlapping approval types. All overlaps every type. Because dates are inclusive, a new range starting on the previous range's end date still overlaps that day; use the next day for consecutive coverage.
HR coverage for another employee
Open Employees → Approval delegations and select Delegate approvals. Choose Employee whose approvals are delegated, then the delegate, dates, and types. Review both employees carefully before creating coverage.
This page provides setup rather than a workspace-wide delegation list. Personal given and received lists remain in Profile. Keep the recorded confirmation when arranging coverage so it can be identified later.
Review or end coverage
In your personal list, check whether a record was given or received, its dates, and its types. Current and upcoming records are listed; expired coverage may no longer appear. Being listed does not mean a future-dated record is already in effect.
For a delegation you gave, select Revoke, review the confirmation, and select Revoke delegation only when coverage should stop. Cancel the confirmation to keep it. HR can also revoke coverage through authorized management controls or the recorded delegation where available.
Revocation stops the delegation immediately, rather than waiting for its original end date. Other approval services can take a few seconds to receive the change. Check the result before retrying. Removing coverage does not undo decisions already made during the delegated period.
On a phone
The same setup controls stack vertically. Scroll through the dates and all approval types before creating coverage. Confirm the person and scope even when they are outside the visible portion of the form.
Troubleshooting
| Problem | What to check |
|---|---|
| Personal delegations are unavailable | Ask your administrator to check your employee link and access. |
| The colleague is unavailable | Check that they are active and visible to your account; ask HR for assistance. |
| Creation reports overlapping coverage | Compare inclusive dates and selected types with existing delegations. All overlaps every type. |
| A delegated approval is unavailable | Check the dates, scope, workflow permissions, and current approval step. Allow briefly for propagation. |
| You cannot revoke a received delegation | The employee who gave it or authorized HR must end it. |
| A save result is unclear | Check the recorded coverage before creating another copy. Report the action and error without sharing unrelated employee details. |
