Payroll
Payroll turns employee pay records, approved leave, overtime and deductions into a reviewed pay run. Authorized staff prepare and check the run; employees see their own payslips after finalization. Start with the correct view and access before changing any payroll record.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read periods and calculated transactions
payroll.readThe Payroll plan feature is required. Reading does not grant processing, approval or finalization.
Role and permission labels
Typical responsibility: Authorized payroll reader. Role names alone do not grant access.
- Read payroll periods and results
- Create, process, generate or reopen runs
payroll.manageLibrary-style period browsing separately needs payroll.read. State, date and overlap rules still apply. Configuration and deductions have separate permissions covered in their own guides.
Role and permission labels
Typical responsibility: Payroll operator. Role names alone do not grant access.
- Manage payroll runs
- Approve or reject a Processing run
payroll.approveThe account that processed the run cannot approve it. Browsing and reviewing results separately needs payroll.read.
Role and permission labels
Typical responsibility: Independent payroll approver. Role names alone do not grant access.
- Approve or reject payroll runs
- Finalize an Approved run
payroll.finalizeThe period must be Approved. Finalization issues payslips and employee notifications; it is not a completed bank transfer.
Role and permission labels
Typical responsibility: Authorized payroll finalizer. Role names alone do not grant access.
- Finalize payroll runs
- Read all employees’ payslips
payslips.readThis grants workspace-wide payslip access, not only direct reports.

- Read workspace payslips
- Read your own payslips and year-to-date totals
Sign in with an account linked to your employee record. The Payroll feature is required. No payroll administration permission is needed for these own-record views.

Choose the right workspace area
| Area | Purpose |
|---|---|
| Payroll processing → Periods | Prepare a run, calculate employee results, and follow its approval status. |
| Payroll processing → Transactions | Inspect individual calculated payroll results. |
| Payroll processing → Payslips | Authorized staff inspect issued employee payslips. |
| Pay configuration | Maintain employee pay, deductions and payroll configuration where authorized. |
| My Workspace → Pay | Employees read their own issued payslips and year-to-date summary. |
| My Workspace → Tax statements / Payment elections | Employees access their own annual statements and pay-split choices. |
Start from pay periods
Open Payroll processing → Periods. Check the period dates, frequency, run type, status, employee results and skipped counts. Review filter chips before interpreting an empty list. Payroll attention summarizes processing runs, rejected runs and flagged overtime across all dates, rather than only the current table filter.
The demo begins with no pay periods. Use New period when authorized to start a run. The form separates Pay frequency from Run type and explains how its dates are chosen.
The pictured form was cancelled without creating a period. Continue with Prepare pay periods for saved Draft setup and readiness checks.
Follow the payroll stages
- Prepare a Draft
Check dates, run type, employee pay records, deduction assignments, approved leave and any overtime due. Regular pay periods must not overlap.
- Start Processing
Starting processing changes the run's stage. It does not by itself calculate employee transactions.
- Calculate and inspect results
Generate the payroll results, review created, updated and removed transactions, and investigate every skipped employee. A skipped employee is not automatically included in the run.
- Obtain independent approval
An authorized approver reviews the Processing run. The account that processed it cannot approve the same run. Rejected runs can be reopened for correction.
- Finalize only after review
Finalizing an Approved run issues payslips and employee notifications. Verify the finalized records and use the organization's payment process separately.
Processing and generation complete their work before returning a result; they are not a six-hour scheduled accrual process. If generation fails, read the error and inspect the run before retrying. Recalculating a Processing run can update or remove earlier calculated results, so recheck them before approval.
For employees: find payslips
Open My Workspace → Pay → Payslips. Select an issued payslip to inspect its details or download its PDF when available. An empty list before finalization is expected; processing or approval alone does not issue payslips.
Read year-to-date totals
Switch to Year-to-date, select the year, and inspect the summary. Totals use issued payslips grouped by the payroll period's end year. Each currency is shown separately; do not combine different currencies into one amount.
An empty summary has no issued payslips for the selection. Employee contributions deducted from pay and employer contributions are distinct. Use the payslip details to investigate individual amounts and contact payroll staff about discrepancies.
Keep source records and pay results separate
Employee compensation, approved leave, and reviewed timesheets contribute to payroll. Changing a source record does not justify assuming an existing issued payslip has changed. Review the relevant run and recorded results with the payroll administrator.
Troubleshooting
| Problem | What to check |
|---|---|
| Payroll is unavailable | Check plan inclusion and the specific task permission. |
| No periods appear | Clear filters and check whether a run has been created. |
| Processing has no employee results | Starting processing and generating results are separate actions. |
| An employee was skipped | Review the generation result and source pay data before approval. |
| Approval is unavailable to the processor | A different authorized account must approve the run. |
| An employee has no payslip | Check finalization, employee inclusion, ownership link and filters. |
| Year-to-date shows no amounts | Check the selected year and issued payslips; draft or processing results do not count. |
| A payslip exists but payment is unconfirmed | Follow your organization's bank or mobile-money payment process separately. |
