Review employee timesheets
Managers and authorized HR reviewers use timesheets to check a week's attendance before approval. Review the employee, week, daily entries, and overtime together. Final approval locks the week's attendance records.
Access needed
Access depends on your assigned permissions and workflow scope.
- View the review queue and permitted weeks
Linked callers can view their permitted team scope. All employees scope needs at least one of attendance.read, attendance.manage or attendance.timesheets.approve. Unlinked callers also need one of those permissions.
Role and permission labels
Typical responsibility: Linked manager or HR. Role names alone do not grant access.
- Approve or reject an assigned manager-stage week
Sign in with an employee link and act only within the assignment or active timesheet delegation. Own or self-submitted weeks cannot be decided.
Role and permission labels
Typical responsibility: Assigned manager or active timesheet delegate. Role names alone do not grant access.
- Approve or reject as HR; restore approval tasks
attendance.timesheets.approveThe request must be in an eligible submitted state. Own or self-submitted weeks remain excluded.
Role and permission labels
Typical responsibility: HR reviewer. Role names alone do not grant access.
- Approve timesheets as HR
- Administratively reopen another employee’s week
attendance.manageOwn administrative reopening is prohibited. Employee self-reopening is limited to their own Rejected week.
Role and permission labels
Typical responsibility: HR administrator. Role names alone do not grant access.

Start with a submitted week
Employees review My week and submit it when the entries are ready. See Attendance for employees for their workflow. Open intervals must be closed with the actual finish before submission.
Submission stores the week's policy settings for later review. It does not mean the week is approved. Our fictional example is Submitted, awaiting HR, with 9.00 worked hours and no overtime.
Find weeks you can review
Open Attendance → Timesheets → Employee timesheets. Available tabs and actions depend on your account. Choose My team for direct reports and relevant assigned or delegated approvals, or All employees when your access permits it.
Use Filter for employee, week, or status, and review the active chips. Use Sort, paging, and Rows per page as needed. Seeing a week in All employees does not automatically allow you to approve it.
Inspect a week before deciding
- Open View timesheet
Verify the employee number and week, then select View timesheet. Check the status and assigned approval stage.
- Check totals and the policy
Review worked, regular, and overtime hours. The week shows its daily and weekly thresholds, overtime multiplier, and week-start day. Submitted weeks use the policy captured at submission, rather than today's changed settings.
- Inspect daily evidence
Use View entries for a day to check clock-in, clock-out, source, and hours. Check missing finishes or unexpected intervals with the employee before deciding. A schedule is planned work, not evidence of actual attendance.
- Choose the appropriate outcome
Approve only an accurate submitted week. Reject when the employee needs to correct it, with a clear explanation. If your action is unavailable, check the assignment and access rather than using another person's account.
Timesheet days follow the clock-in date in the organization's time zone, which can differ from the UTC date used by the daily-record list. Only finished intervals contribute worked hours. Leave, holidays, rest days, scheduled hours, and variance provide context; they do not automatically create a holiday premium or turn a variance into a payroll deduction.
Who may approve
A submitted week normally goes to the employee's eligible manager. A permitted timesheet delegate or authorized HR approver can act where the workflow allows. Without an eligible manager, the week waits for HR.
This is a single approval decision: successful approval makes the timesheet Approved. Do not assume every manager decision is followed by a second HR approval.
Nobody can approve, reject, or administratively reopen their own timesheet. The sample account's own submitted week is visible for inspection, but excluded from approval selection. A different eligible reviewer must decide it.
Approve or reject
When the appropriate action is available, select Approve timesheet or Reject timesheet, then review the confirmation for the intended week. Rejection requires a meaningful reason within 500 characters; the employee sees it and can arrange corrections and resubmit. Read the action and confirmation before applying it.
Wait for the result and check the resulting status. Approval recalculates the week using its captured policy and refuses unfinished intervals. Approved overtime becomes eligible for the relevant payroll workflow; approval itself is not a completed payslip or payment.
An Approved week is locked against ordinary attendance creation, clock actions, corrections, and deletion for that week. Leave-generated records can still be added through approved leave. Do not create a duplicate record to work around a lock.
Review several weeks
When available, use the selection controls for eligible submitted rows and the bulk approve or reject action. Own or otherwise ineligible rows cannot be selected for a decision.
Review the selected employees and weeks before confirming. Each decision saves separately: a failed week does not undo earlier successful decisions. Inspect the per-week results and use failed-only retry when offered, rather than repeating successful decisions.
Reopen for corrections
Authorized HR staff can use Reopen timesheet on an eligible Submitted, Approved, or Rejected week, with an optional reason. Review the confirmation: reopening an Approved week unlocks attendance and notifies Payroll. Check the affected payroll work separately.
After reopening, make the required attendance corrections, have the employee review the week, and submit it again. Reopening alone neither fixes the records nor approves the corrected hours.
Employees can return their own Rejected week to Open through Reopen week when offered. That self-service action is different from administrative reopening of an approved week.
Track the result
| Status | Next step |
|---|---|
| Open | Employee or HR finishes checking and correcting records before submission. |
| Submitted | The eligible approver reviews and decides. |
| Approved | Attendance is locked; coordinate reopening if a correction is necessary. |
| Rejected | Read the reason, correct or arrange corrections, and resubmit. |
Approval tasks can also appear in Tasks. The administrative Restore approval tasks action is for recovering missing review tasks, not approving weeks. Use it only when the task list needs recovery after an administrator has investigated.
Troubleshooting
| Problem | What to check |
|---|---|
| No weeks appear | Check scope, employee, week, status filters, and your access. |
| Approval selection or actions are unavailable | Check Submitted status, assigned approver, delegation dates/scope, and own-timesheet restrictions. |
| A week contains an unfinished interval | Arrange the actual finish and review the records before submission or approval. |
| Totals differ from today's settings | Submitted weeks retain their captured policy. Check that policy and the underlying intervals. |
| Corrections are locked | HR must reopen an Approved week through the appropriate workflow. |
| A decision reports a conflict or failure | Refresh the week and inspect its current state before retrying. |
| A bulk review partly fails | Keep the successful outcomes and address only failed weeks. |
