Reporting structure
The organization chart shows who reports to whom. It follows employee manager assignments, rather than the order of departments or the titles of positions.
Access needed
Access depends on your assigned permissions and workflow scope.
- View the organization chart and reporting chain
With chart visibility enabled, linked employees and eligible directory readers can view the chart. With visibility restricted, employees.read allows the full chart; linked employees are limited to themselves and their reporting subtree and its manager chains. Workspace visibility settings still apply.
Role and permission labels
Typical responsibility: Linked employee, manager or authorized reader. Role names alone do not grant access.
- Change employee reporting assignments
employees.updateEmployee-record access and necessary readable personal fields still apply; restricted data must not be manufactured.
Role and permission labels
Typical responsibility: HR record editor. Role names alone do not grant access.
- Update employees
- Add, edit, activate or deactivate structure records
organization.manageOrganization positions are job titles, not account access roles.
Role and permission labels
Typical responsibility: HR or administrator. Role names alone do not grant access.
- Manage departments and positions
Demo screenshots may show broader access than your account.
Keep the relationships separate
| Relationship | Where it is maintained | What it describes |
|---|---|---|
| Parent department | Edit a department's Parent department. | How departments are grouped. |
| Department manager | Edit an existing department's Department manager. | Who leads a department. |
| Employee manager | The Manager field in an employee's employment details. | Who that employee reports to. |
Creating a department or selecting its manager does not automatically populate employee reporting lines. An employee's position title is also separate from their Manager assignment.
If you need to change an employee's manager, ask the person responsible for employee records to review the Manager field in that employee's employment details. Do not change other records merely to make the diagram look different.
Open the chart
Open Organization → Org Chart. The chart displays relationships within your permitted scope. Depending on your account and workspace settings, that may be the whole organization or your own reporting team.
A linked employee account or suitable employee-directory access may be needed. If access is denied, ask your administrator to review your account's employee link, access, and the workspace's chart-visibility settings.
Focus on a person
- Find the person you want to inspect
On desktop, use the chart's zoom controls to read the cards. Use Fit View to fit the current result into the canvas.
- Open their reporting team
Select a person's card or View reporting team. The chart reloads with that person at the top of the selected view.
- Return to the wider view
Use the back control beside Org Chart, labeled Return to chart roots, to leave the focused view. The resulting chart still respects your permitted scope.
This example person has no direct reports, so the focused view contains one card. That is a valid result. Adding departments or increasing the number of reporting levels will not create relationships that are missing from employee records.
Choose how many levels to show
Open Filter → Reporting levels and choose between 1 level and 5 levels. The default is two levels below the starting employee. A higher number includes deeper reporting relationships when they exist and are visible to you.
A non-default selection appears as a removable filter chip. Clear that chip to return to the default level count. Reset, when shown, clears the selected focus and resets the level count. Use Refresh after the underlying employee information has changed.
Use the chart on mobile
On a phone, the chart uses cards and nested lists instead of the desktop canvas. Open More in the bottom navigation to reach Organization when needed. Where a person has reports, use View reporting team to focus on that team.
Understand missing people or relationships
- Active and suspended employees are included in the chart's eligible population. Pre-hires, employees whose employment has ended, and deleted records are excluded.
- Your access may limit which part of the organization you can view.
- A person without an eligible manager can appear at the top of the chart rather than under their former manager.
- No visible direct reports can mean that none are assigned in the selected scope; it does not necessarily mean that the employee has no position or department.
Troubleshooting
| What you see | What to check |
|---|---|
| Many separate top-level cards | Employees may not have eligible managers assigned. Ask the person managing employee records to review reporting lines. |
| Only your own part of the organization | This may be the intended scope for your account and workspace settings. |
| No reporting relationships | Confirm that eligible employee records exist in your permitted scope. |
| The expected person is missing | Check the selected focus, reporting-level limit, employee status, and your access. |
| Access denied after following a link | The linked reporting team may be outside your permitted scope. Return to your permitted chart or ask your administrator for help. |
Return to Organization setup to review how departments, positions, and employee assignments fit together.
