Annual tax statements
Annual tax statements summarize issued payslips for a calendar year. Authorized staff generate them for the workspace; employees read their own available statements. Generation creates a stored statement, not a tax filing or a payment.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read/download your own available annual statements
Sign in with an account linked to your employee record. The Payroll plan feature is required. A statement must already be generated before its PDF is available.
Role and permission labels
Typical responsibility: Employee. Role names alone do not grant access.
- Read the workspace statement list and employee PDFs
payslips.readThis permits wider payroll-statement access; it does not grant generation.
Role and permission labels
Typical responsibility: Authorized payslip reader. Role names alone do not grant access.
- Read workspace payslips
- Generate or regenerate a year across the workspace
payroll.manageThe Payroll feature is required. Generation includes every eligible employee regardless of list filters and replaces existing PDFs for that year. Browsing the employee list separately needs payslips.read.
Role and permission labels
Typical responsibility: Payroll operator. Role names alone do not grant access.
- Manage payroll runs
Demo screenshots may show broader access than your account.
Confirm the source year
Only issued payslips count. A calculated transaction or an Approved run without finalization does not contribute. The year follows the payroll period's end date: a period beginning in December and ending in January belongs to January's year.
Currencies stay separate. The statement can contain separate currency sections; do not combine unrelated currencies into one total. Use Payslips and employee pay access to investigate the underlying issued records and year-to-date summary.
For staff: inspect issued statements
Open Payroll processing → Tax statements. Review Tax year, Employee, employee number, Currencies, Payslips, Status and Issued. Use Filter and Refresh to find the intended year and employee.
An empty list means no statements match the current scope; it does not prove generation has already run. Check filters, issued payslips and the generation result separately.
Generate statements for a year
- Open Generate statements
Confirm that you are generating annual statements, not issuing payslips or changing compensation.
- Choose Tax year
Select the intended year. Future years cannot be generated. Check whether the current year is still in progress.
- Read the scope and replacement warning
Generation includes every employee with issued payslips for periods ending in that year, across the workspace. Employee filters on the list do not limit it.
- Generate once and verify
Select Generate statements and wait for the result. Inspect Employees, Created and Replaced counts, then use View year statements to inspect that year's records.
Generation completes within the request; it is not a scheduled overnight or six-hour process. If it fails, read the error and refresh the list before trying again. Do not interpret a pending request as a completed generation.
Interpret a zero-result generation
The demo generation for 2026 returned Employees 0, Created 0 and Replaced 0, with No employees had issued payslips for this year. The request completed, but there was nothing eligible to issue. It did not create an empty statement for the fictional employee merely because a compensation record or payroll transaction exists.
For employees: open your statement
Open My Workspace → Tax statements. Your account needs its employee link, not payroll administration access. Review the year and availability. An Available statement can be opened or downloaded through the PDF actions offered; Not issued means the annual statement has not been generated yet.
Years are offered when the employee has issued payslips or a statement for that year. The demo has neither, so its own-statement view is empty. Ask payroll staff to check source payslips and generation rather than uploading an unrelated file as a substitute.
When a statement is available, confirm the employee, year, currency sections and payslip count. Inspect gross/taxable pay, PAYE, employee and employer NASSCORP, net pay and the monthly breakdown. Save the PDF only in an approved location.
Troubleshooting
| Problem | What to check |
|---|---|
| The employee view has no years | Check whether there are issued payslips or statements for that employee. |
| A statement is Not issued | Payroll staff must generate the relevant year; employee access does not generate it. |
| Generation returned zero employees | Confirm issued payslips and the payroll period end year. |
| Employee filters did not limit generation | Generation is workspace-wide for the selected year. |
| Replaced is greater than zero | Existing PDFs for that year were regenerated rather than duplicated. |
| A future year is refused | Generation is limited to the current year and earlier years. |
| A PDF is unavailable | Confirm generation and availability, refresh and retry; escalate persistent failures. |
| A summary differs from an expected amount | Check year, currency, issued payslip count and the underlying records before changing source pay. |
