Daily attendance records

Use Attendance → Records to review the employee records your account can access. Check the employee number as well as the name before adding or changing a record.

Access needed

Access depends on your assigned permissions and workflow scope.

Read other employees’ daily attendance
attendance.read

Role and permission labels

Typical responsibility: HR or authorized reader. Role names alone do not grant access.

  • Read employee attendance
Add, correct or remove attendance
attendance.manage

Leave-generated records and approved-week locks still apply. Clocking for another employee additionally needs attendance.clock.

Role and permission labels

Typical responsibility: HR administrator. Role names alone do not grant access.

  • Manage attendance records

Demo screenshots may show broader access than your account.

Find the record

Open Filter to narrow by Employee, Record date (UTC), or Status. The date filter provides From (UTC date) and To (UTC date). Review active filter chips, use their remove controls to clear individual filters, or select Reset to start again.

Use Sort to change the order, Refresh attendance to reload, and the paging controls when more records match than are visible. Wide tables can scroll to reveal columns beyond the screen.

Daily attendance records
Check the employee, UTC record date and locally displayed clock times.
Filter by record date
The date range follows the record date, not necessarily the displayed local clock-in date.

Read the columns

ColumnMeaning
Employee and employee numberThe person the record belongs to.
Record date (UTC)The date used by the record and list filters.
StatusPresent, Absent, Late, Half Day, or a system-generated On Leave record.
Clock in and Clock outActual recorded timestamps, displayed in your device's time zone.
Total hoursThe elapsed time between the saved clock-in and clock-out.
OvertimeCalculated hours above the configured threshold for that record.
SourceHelps distinguish manual entries from other sources. Corrections mark a record as manual.

Hours are decimal hours, not hours-and-minutes notation: 7.50 hours means seven hours and thirty minutes. The default overtime threshold is eight hours, but your workspace can configure a different one. It applies per record; do not assume the table has combined all records into a daily or weekly overtime decision.

Add a manual entry

Use this only to record actual approved attendance information, rather than guessing a missing time. It requires attendance-management access.

  1. Open the form

Select Add attendance to open Manual Attendance Entry. Select the employee and verify their employee number.

  2. Choose the record date and times

Set Attendance date deliberately. Enter the actual Clock-in date and Clock-in time, then the finish date and time. Time controls use your device's time zone. Check the separate dates for an overnight shift.

  3. Set status and explain the entry

Choose the appropriate available status and enter useful Notes, up to 1,000 characters. Leave this record open is only for a genuine attendance interval that has not finished; do not use it to bypass an unknown finish time.

  4. Save and verify

Select Create Entry once and wait for success. Review the saved details and table row, including dates, times, calculated hours, and manual source. If the result is unclear, check for the record before creating another.

Add a manual record
Use verified actual times. These example dates and amounts are illustrative.

The screenshot contains a fictional workday. Use your own organization's verified attendance information. A manual record's Attendance date is recorded separately from the clock-in timestamp; check both instead of assuming the form will reconcile them automatically.

Clock-out must be later than clock-in and no more than 24 hours after it. Records cannot overlap for the same employee. Only one open interval is allowed, and future clock times are restricted. Employees who have not started cannot receive clock or manual entries.

Inspect and correct a record

Open the record to review its details. With management access and an editable record, correct the available clock times, status, or notes, then select Save. Review the result and recalculated hours afterwards.

Review a saved record
Check the saved dates, times and calculated duration before closing.

A correction keeps the original record date. It cannot clear a clock-out after one has been saved. Use current time should be used only when now is the actual arrival or finish being recorded, not as a shortcut for a historical correction.

Cancel discards unsaved corrections. A disabled Save can mean that nothing changed or that the record is not currently editable. Approved timesheet records are locked; coordinate corrections through the timesheet process instead of creating a duplicate interval.

Leave-generated records

Approved leave produces On Leave records for the relevant working days. These cannot be manually edited or deleted. Change or cancel the leave request through its own workflow when a leave-generated record needs correction.

Delete an incorrect record

Authorized staff can select Delete for an eligible ordinary record, review the confirmation, and confirm only when it should be removed. Cancel to keep it. Deletion removes it from the lists; do not assume an undo action is available. On Leave records and locked records require their appropriate workflow instead.

Troubleshooting

ProblemWhat to check
No records appearClear restrictive filters and check the UTC date range. An empty result is different from a loading failure.
Assigned shifts cannot be loaded in the manual formEnter verified actual dates and times yourself if the form allows it; do not invent a shift or assume the lookup succeeded.
An entry overlaps anotherInspect existing intervals and open records before retrying.
The employee already has an open recordFind the unfinished interval and record its actual finish through the appropriate action.
A finish time is rejectedCheck its date, time zone, order after clock-in, duration, and whether it is in the future.
A record cannot be changedCheck management access, approved timesheet locking, and whether it came from leave.
Hours differ from expectationsCheck saved timestamps and per-record overtime rules; changing settings does not recalculate old records automatically.
Saving failsCheck the current list before retrying, then report the action and error without exposing unrelated employee information.
