Review payroll transactions

A payroll transaction is the stored calculation for one employee in one period. Use it to review earnings, deductions and net pay before approval. Transactions are separate from issued payslips and completed payments.

Access needed

Access depends on your assigned permissions and workflow scope.

List transactions, inspect breakdown/history and preview/export registers
payroll.read

The workspace plan must include Payroll. The register contains all matching rows in its stated scope and selected currency, not just the current page.

Role and permission labels

Typical responsibility: Authorized payroll reader. Role names alone do not grant access.

  • Read payroll periods and results
Open employee compensation from Review pay
All:employees.reademployees.compensation.read

Separate from transaction-read access. Changing source compensation additionally requires employees.compensation.manage.

Role and permission labels

Typical responsibility: Authorized compensation reader. Role names alone do not grant access.

  • Read employee records
  • Read compensation
Recalculate source corrections into a Processing run
payroll.manage

Reading the run separately needs payroll.read. This guide does not grant source-write permissions; Approved and Finalized runs remain locked.

Role and permission labels

Typical responsibility: Payroll operator. Role names alone do not grant access.

  • Manage payroll runs
Read workspace payslips from history
payslips.read

Employees can read their own issued payslips through their linked account without workspace-wide payslip access.

Role and permission labels

Typical responsibility: Authorized payslip reader. Role names alone do not grant access.

  • Read workspace payslips

Demo screenshots may show broader access than your account.

Find the calculated result

Open Payroll processing → Transactions. The screen lists stored results across periods. Check Employee, employee number, Gross pay, Deductions, Net pay, Status and Period before opening a row.

Stored payroll results
A calculated result is not proof of payment.

Open Filter to narrow by Period, Employee or Status. Use Sort and the page controls where offered. Check active filter chips and Reset when a result seems missing. The employee result list inside a period is another entry point to the same kind of calculated result.

Narrow the list
Check the period and employee scope.

A transaction can be removed by later recalculation if the employee no longer qualifies. If a record disappeared, check the run and the latest calculation before concluding that the employee was paid or deliberately excluded. See Calculate and review payroll.

Inspect the pay breakdown

Select View breakdown on the intended row. Check the employee and period context, then review all three sections.

  1. Review Earnings

Read Base salary, Allowances, Overtime pay, Unpaid leave adjustment and Gross pay. Period amounts can differ from full monthly compensation.

  2. Review Deductions

Check PAYE, Employee NASSCORP, Other deductions and Total deductions. Employer NASSCORP is shown separately and does not reduce the employee's net pay.

  3. Review Time and pay adjustments

Check paid/unpaid leave days, overtime hours and any part-period pay segments. Read each segment's dates and day count.

  4. Reconcile net pay

Compare the stored Gross pay, Total deductions and Net pay in the same currency. Investigate discrepancies with payroll staff before approval.

Inspect calculated pay
Review all sections and the period context.

For the fictional October example, Gross pay is USD 258.07, Total deductions USD 7.74 and Net pay USD 250.33. It includes five calendar days from the dated pay record. Employee pay records explains that sample and shows the proration section, so those setup instructions are not repeated here.

Investigate source records separately

Use Review pay or Review overtime where offered to open the relevant source view. These links do not change the transaction. Correcting source data requires its own permission, and changes do not update calculated results until the Processing period is recalculated.

Follow an employee's payroll history

Select View payroll history from the breakdown. The heading changes to Employee payroll history, with the employee filter applied and results across periods. Check the active filters and Period column before comparing amounts.

Employee payroll history
History spans periods and does not confirm payments.

History shows stored results, not proof of payment. View payslips opens the separate issued-payslip view; a Processed transaction can exist before any payslip is issued. Do not assume that the history list is limited to the period you previously inspected.

Preview a payroll register

Choose a Period filter before using Preview & export. In employee history, keep the employee filter when you want only that person's register. Check Status as well; the preview states which scope is included.

Preview the register
All matching rows are included for the selected scope and currency.
  1. Confirm the scope

Read the preview description and register heading. It includes all matching rows for the selected scope, not merely the visible list page.

  2. Choose one currency

Use Currency when more than one is available. Each download contains the selected currency only.

  3. Review the spreadsheet

Inspect the Payroll register worksheet and totals. The preview is for reading; formulas show saved results and some formatting or charts may not appear.

  4. Choose the required format

Use Download Excel, or open Other register download formats for PDF or CSV. The PDF tab provides a separate preview when available. Store any downloaded file according to your organization's payroll-data rules.

Choose a register format
Format options inspected; no file downloaded.

What the demo verifies

The populated transaction, its breakdown, employee-history scope and spreadsheet register preview were inspected in the live demo. The run remains Processing, with no approval, finalization or payment. PDF preview rendering and saved export files were not verified in this pass.

Troubleshooting

A preview is incomplete or failsDo not treat a failed load as an empty register. Retry when offered and verify scope before downloading.
