Payroll overtime

Payroll overtime shows approved timesheet weeks received from Attendance and changes that may need payroll review. Use it to check the week, hours, multiplier and related pay period. It does not record attendance, approve timesheets or confirm a bank payment.

Access needed

Access depends on your assigned permissions and workflow scope.

Read/filter overtime weeks and inspect stored details
payroll.read

The Payroll plan feature is required. Reading overtime does not approve or reopen Attendance timesheets.

Role and permission labels

Typical responsibility: Payroll reviewer. Role names alone do not grant access.

  • Read payroll periods and results
Read the source timesheet as an administrator
attendance.read

Source timesheet ownership/direct-manager access can also apply under the Attendance workflow. Timesheet approval or reopening has separate assignment and permission checks; payroll.read does not grant it.

Role and permission labels

Typical responsibility: Authorized Attendance reader. Role names alone do not grant access.

  • Read employee attendance
Recalculate a Processing payroll run after source changes
payroll.manage

Reading the run separately needs payroll.read. Only Regular runs automatically collect eligible approved weeks; Approved and Finalized runs are locked.

Role and permission labels

Typical responsibility: Payroll operator. Role names alone do not grant access.

  • Manage payroll runs
Investigate overtime events in the Activity log
audit.read

Activity log access is independent of payroll-read permission. This guide does not grant correction or payment authority.

Role and permission labels

Typical responsibility: Authorized investigator. Role names alone do not grant access.

  • Read the service Activity log

Demo screenshots may show broader access than your account.

Open the overtime list

Open Payroll processing → Overtime. Review Employee, employee number, Week, Overtime hours, Multiplier, Overtime amount, Timesheet status, Review, Payroll period and Last changed. Use Refresh when you need the latest stored information.

Payroll overtime starting state
Approved timesheet weeks must reach payroll before they appear.

The demo currently has no stored overtime weeks. Its screenshot is the real empty state, not a populated payroll example. An attendance entry or Submitted timesheet is not the same as an Approved week received by payroll. Follow Review employee timesheets for the Attendance-side workflow.

Filter the review

  1. Choose the relevant scope

Open Filter and use Timesheet status, Payroll period, Employee or Review needed. Status distinguishes Approved from Reopened weeks.

  2. Find flagged weeks

Choose Review needed → Needs review to show weeks with a recorded review reason. Check the active chip so an empty filtered list is not mistaken for an empty register.

  3. Check the period meaning

Payroll period includes weeks recorded in that period or flagged against it for review. It is not only a list of successfully calculated overtime earnings.

  4. Widen and refresh

Remove individual chips or Reset, inspect other pages, and Refresh payroll overtime when needed. Sort by Week or Last changed to follow recent changes.

Narrow the review
Choose the intended employee, status, period or review scope.
Find flagged weeks
An empty filtered result is not proof that no overtime was worked.

Inspect a stored week

When rows are available, open the intended week. The Overtime week panel shows its regular/overtime hours, multiplier, timesheet status and last change, plus the recorded amount, Included in period and Review period. These fields serve different purposes: a review period can identify the locked run needing investigation.

The week-detail instructions follow the current application and documented contract; no populated week-detail screenshot was captured in this pass because the demo list was empty.

Understand which run includes overtime

Only Regular runs automatically include eligible overtime. The approved week's week end date must fall inside the payroll period's date range. A week crossing a period boundary is selected by its end date, not split merely because some days occurred in the earlier period.

Bonus, AdHoc and ContractorPayment runs do not automatically pick up overtime weeks. An approved week also needs an eligible employee payroll result; approval alone is not a completed earning or payslip.

The documented calculation uses overtime hours, the applicable base salary, configured standard hours for the pay frequency, and the week's multiplier. The resulting overtime earning is included in gross pay and the related tax/contribution calculation. Read the recorded transaction breakdown rather than estimating payment from hours alone.

Handle changes before approval

If an approved week is reopened in Attendance before the run is approved, the next payroll calculation drops that week. If a week is approved or reopened after the last calculation, payroll approval can be refused until the run is recalculated.

Return to the Processing run, investigate the source change, then use the separate calculation and review workflow where authorized. Recheck amounts and employee inclusion before independent approval. This is not a manual edit to the overtime row.

Investigate changes after the run is locked

Review reasonMeaning
PeriodLockedA week was approved after the period containing its week-end date was already approved. It was not automatically paid into that locked run.
ReopenedAfterPayrollA week included in an approved or finalized run was reopened. Its recorded amount is retained and needs investigation.

This page cannot clear review flags or record a correction. A separately authorized correction must follow the organization's process. An AdHoc run does not automatically import a flagged overtime week; any correction needs deliberate review of its inputs and amounts.

What was verified

The live light-theme list, filter menu and Needs review selection were checked. No timesheet was approved or reopened, and no payroll was calculated, approved, finalized or paid in this pass. Automatic overtime inclusion, populated week details and locked-run flags remain documented behavior rather than newly exercised demo scenarios.

Troubleshooting

A week is missing from a periodCheck its week-end date and that the run is Regular, then inspect employee eligibility and calculation.

Approval reports that overtime changedReview the changed week and recalculate the Processing run before reviewing again.
A reopened week still has a recorded amountIt may belong to locked payroll; inspect the review reason and related transaction.
The amount has no currency labelConfirm currency from the related payroll transaction.
A review flag cannot be cleared hereThis screen is for investigation; it does not record corrections or clear flags.
