Notifications and preferences
Your inbox brings together updates addressed to you, such as leave decisions, document availability and payroll tasks. Personal preferences control how eligible updates reach you; they do not grant access to the underlying records.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read your inbox, mark your messages read and maintain your notification preferences
notifications.inbox.readApplies to your own account. It does not grant another user’s inbox, outbound delivery administration, template editing or access to linked business records.
Role and permission labels
Typical responsibility: Signed-in notification recipient. Role names alone do not grant access.
- Read own notifications and manage delivery preferences
Demo screenshots may show broader access than your account.
Open your inbox
Open Notifications → Inbox. Review the notification title, category, Read/Unread status, Received time and Read on time. Use Refresh notifications when you need to reload the list.
Use Filter records to narrow the category or read status and Sort records to change the order. Review filter chips and use Reset when you need a broader view. An empty filtered result is different from a failed request.
Read an update and follow its context
Select a notification's Open action to view its message. Review the text and use Open details, when available, to visit the related workspace record. Previous and Next record navigate within the current page.
Manage unread items
Use Mark as read where offered for an unread message. You can also select entries on the current page and use the selected-items read action. Check the resulting status and unread count rather than assuming a click succeeded.
Marking a notification read does not approve a request, complete a task or acknowledge a memo. Perform those actions in their own workflows. Expired messages are excluded from the inbox, and older items can be removed under the workspace retention policy.
Choose your delivery channels
Select Settings from the inbox, or open Settings → Notifications. The Notify me when table lists event categories with Email, In-app and Text message choices.
- Choose the event category
Read its description and identify which updates you want to receive through each available channel. The choices affect your own notifications.
- Review required and unavailable choices
Required Security and Memos email and in-app channels stay enabled. Text message controls can be unavailable when the workspace has no working SMS setup.
- Save your choices
Review the draft and select Save changes. Read any error and reopen the page to verify the saved choices. Leaving an unsaved draft does not apply it.
Restore preference defaults
Restore defaults replaces your current draft with the available default choices after confirmation. Required email and in-app notifications remain on. When text messages are unavailable, those choices stay unchanged. Select Save changes to persist the restored draft; restoration alone does not save it.
The button is disabled when your available choices already match the defaults. Restoration is not a resend operation and does not mark messages read.
Know what each channel means
| Channel or action | What it does |
|---|---|
| In-app | Stores an eligible update in your personal notification inbox. |
| Requests delivery through the configured email service according to the event and your choices. | |
| Text message | Requires SMS availability and a valid destination as well as an enabled choice. |
| Mark read | Changes inbox reading status; it does not finish the business workflow. |
| Memo acknowledgement | A separate recipient action where a memo requires it. |
Troubleshooting
| Problem | What to check |
|---|---|
| Inbox or preferences is unavailable | Both require notifications.inbox.read for your own account. |
| A message is missing | Check filters, expiry, current category choices and whether it was addressed to you. Refresh after reconnecting. |
| A linked record is unavailable | Check the current record, permissions and workflow scope. |
| Required channels cannot be turned off | Security and Memos email/in-app notifications are mandatory. |
| Text message controls are disabled | Ask the workspace administrator about delivery setup. |
| Preference changes did not persist | Save the draft and check for errors before leaving. |
| Read status changed but work remains pending | Complete the underlying task or approval separately. |
What was verified
The populated six-item inbox, an already-read import notification and the personal preference matrix were inspected in light theme. No read-status change, preference save, restore or outbound message was performed. These captures use an administrator's own inbox; restricted employee access and email/SMS delivery were not tested.
