Dated job changes
Job changes track promotions, transfers, pay changes, manager changes, demotions, and lateral moves through approval and an effective date. Approval and application are separate stages: a future change can be approved without changing today's employee record.
Access needed
Access depends on your assigned permissions and workflow scope.
- View job changes and effective job history
Visibility follows ownership, direct-manager/proposer/approval scope. Own job history is available to the employee; broader history can use employees.read, employees.jobchanges.propose or employees.jobchanges.approve. The application may require employee-record read access to enter through an employee profile.
Role and permission labels
Typical responsibility: Employee, manager or HR. Role names alone do not grant access.
- Propose a team member’s change where supported
Sign in with an employee link and be the employee’s direct manager. Nobody proposes their own change. The current guide does not invent a proposal form.
Role and permission labels
Typical responsibility: Direct manager. Role names alone do not grant access.
- Propose outside your direct team
employees.jobchanges.proposeSelf-proposal remains prohibited.
Role and permission labels
Typical responsibility: HR proposer. Role names alone do not grant access.
- Propose job changes
- Take the manager approval step
Act only within the recorded assignment or active All delegation. Self-review is prohibited.
Role and permission labels
Typical responsibility: Assigned manager or active All delegate. Role names alone do not grant access.
- Take HR approval, recover tasks, or cancel as HR
employees.jobchanges.approveThe HR step needs a different person from the manager step. The proposer can also cancel their PendingApproval or Scheduled change without this HR permission.
Role and permission labels
Typical responsibility: HR reviewer. Role names alone do not grant access.
- Approve job changes
Demo screenshots may show broader access than your account.
Open the queue
Open Employees → Job Changes. The list shows proposals you can access and changes awaiting your approval. Visibility depends on your account and relationship to the proposal; an empty list does not prove that no changes exist elsewhere in the workspace.
Prepare a proposed change
Before a proposal is recorded, agree on the employee, type, effective date, new values, and a meaningful reason. The employee must be Active or Suspended. You cannot propose a change about yourself.
| Type | Information to prepare |
|---|---|
| Promotion, Demotion, or Lateral Move | The new position or job title, plus any associated department, manager, or compensation change. |
| Transfer | The new department and any associated job, manager, or compensation changes. |
| Pay Change | Currency, base salary, and allowances only. |
| Manager Change | The new manager only. |
The effective date cannot precede the hire date or be more than 365 days in the past in the organization's time zone. Only one open change is allowed for an employee on the same effective date. Check for existing Pending or Scheduled proposals before arranging another.
Choose an active department and an eligible manager. A manager cannot be the employee themselves or someone in their own reporting chain. At least one proposed value must actually differ from the existing information.
Find the change you need
Use Filter to choose Employee, Status, Change type, or View, as available. View helps focus on changes relevant to you. Filter chips show the selections; remove a chip or use Reset to clear them.
Search this page… narrows the currently loaded page. Use the queue filters and pagination when searching across a larger set. Sort changes the ordering, for example by proposal or effective date.
Understand the statuses
| Status shown | Meaning |
|---|---|
| PendingApproval | Waiting for the current approval step. |
| Scheduled | Final approval is complete; the change is waiting for its effective date or processing. |
| Applied | The employee record and any included compensation have been updated. |
| Rejected | An approver declined the proposal. Open the details for the reason. |
| Cancelled | The change was stopped before application. Check any recorded cancellation reason. |
Open a change's details to review the employee, type, effective date, reason, before-and-after information, and approval history. Compensation visibility is controlled separately. A hidden amount is not zero and should not be replaced with an assumption.
Review an assigned approval
- Open and compare the proposal
Open the intended change from the queue. Check the employee, effective date, reason, and each proposed value. Review the approval step and history too.
- Confirm that you may decide this step
The available actions depend on the assigned step and your access. The proposer and the employee concerned cannot approve or reject the proposal. The same person cannot take both the manager and HR steps.
- Approve or reject deliberately
Select Approve current step only when the proposal is correct. To decline, select Reject, enter a clear reason within 500 characters, then select Confirm rejection. Back leaves the rejection form without rejecting.
- Check the resulting stage
Wait for the result and refresh the details if needed. Manager approval may move the proposal to HR rather than complete it. Final approval can schedule a future change or apply one already due.
The manager step normally goes to the proposer's eligible manager, with permitted delegation or HR intervention where applicable. If the proposer has no eligible manager, the proposal can start at HR. Follow the recorded step rather than assuming a department title determines who approves.
When an approved change applies
A final approval for a change effective today or earlier applies it immediately if the record is still eligible. Future Scheduled changes are processed on their date in the organization's time zone, within the hourly processing cycle.
Application updates the named employment fields and any included compensation from the effective date. Other fields remain as they were. Check both the employee's Details and compensation history where relevant; a proposal marked Scheduled has not yet completed that update.
If circumstances change before the date—for example the employee leaves or the selected department becomes inactive—the scheduled change can be cancelled by processing. Read the recorded reason and coordinate a corrected proposal with HR rather than repeatedly retrying the original.
Cancel an open change
The proposer or an authorized HR approver can cancel a PendingApproval or Scheduled change. Select Cancel change, review Cancel job change?, and confirm only when it should stop before applying. Close the confirmation to keep the change.
An Applied change cannot be cancelled through this action. Coordinate any correction through the appropriate HR process; cancelling a different proposal does not undo a change already applied.
Check job history
The employee's effective-dated job history records hire, applied job changes, relevant compensation changes, and employment endings. It is different from previous-employer experience. Review it after application when your account has access.
On a phone
The same queue is available on a smaller screen. Scroll wide tables to reach the remaining columns and review the full details before taking an action.
Troubleshooting
| Problem | What to check |
|---|---|
| No proposal-entry action is available | The current interface has no proposal form. Coordinate new proposals with HR. |
| A change is missing from the queue | Check View, other filters, pagination, and your access. |
| Approval actions are unavailable | Check the assigned step, current status, and whether you proposed or are the subject of the change. |
| Approval does not show Applied | It may still need HR approval or have a future effective date. |
| A proposal cannot apply | Review employee status, department availability, manager eligibility, and the reported reason. |
| A Scheduled change has not applied yet | Check the organization's date/time zone and allow for the hourly cycle. Ask HR to investigate if it remains overdue. |
| A decision reports a conflict | Refresh and inspect the current outcome before trying again; another update may have occurred. |
