Find an employee

Start with the directory when you need to check a person's record. Search narrows the list; filters help you focus on a particular group.

Access needed

Access depends on your assigned permissions and workflow scope.

Open employee records

Personal information, compensation and history have additional requirements below.

Role and permission labels

Typical responsibility: HR or authorized reader. Role names alone do not grant access.

  • Read employee records
Read restricted personal fields and stored photos
employees.pii.read

This is additional to the employee-record access used by the directory.

Role and permission labels

Typical responsibility: Authorized personal-data reader. Role names alone do not grant access.

  • Read employee personal data

Demo screenshots may show broader access than your account.

Open the directory

Expand Employees in the workspace navigation and select the employee directory. On a phone, the bottom Employees link also opens it.

The summary cards describe the workforce as a whole. The number beside Employee Directory and the list pagination describe your current results, so these numbers can differ when you search or filter.

Find your employees
Search narrows the list. Workforce summary cards remain separate from the matching results.

Search and filter

  1. Enter a search term

Use Search employees… to enter a name, employee number, or email. Wait for the results to finish loading before opening a record. You can use part of a name when you do not know the full spelling.

  2. Add a filter when needed

Open Filter and choose a field such as Status, Department, or Emp. Type, then choose a value. A chip below the toolbar shows the active filter. Your department choices depend on the organization information you can access.

  3. Review the matching people

Check the employee number as well as the name, especially when two people have similar names. Use Sort to change the ordering. Use the page controls below the list to see more results or change Rows per page.

  4. Open the record

Select the person's row or name to open their record preview. To remove a filter, use its chip's remove button. Reset clears the current search and filters so you can start again.

Filter by employment status
Choose the relevant status, then review the filter chip above the list.

Find someone by their exact employee number

Use this when you already have the employee's full identifier.

  1. Open the lookup

Select Options → Find employee by number in the directory toolbar.

  2. Enter the complete number

Copy the employee number exactly, including letter case, prefixes, hyphens, and leading zeros. This lookup uses an exact match rather than a partial search.

  3. Open the employee

Select Find employee. A successful lookup opens the full employee record. If it fails, check the number and workspace before trying again.

Find an exact employee number
Copy the full employee number, including its letter case and punctuation.

Read the employee record

Start with Details to check the person's identity and employment information. The employment section shows their employee number, status, department, position, manager, and dates. Other tabs may include attendance, leave, pay, documents, and Activity log, depending on your access.

Viewing a record does not grant permission to edit every section. Personal information and compensation can be restricted independently. Do not treat masked information as an empty field that needs to be filled.

Read an employee record
Check the employee number and details before taking any action. Visible fields depend on your access.

On a phone

Use the same search and filter controls. Select Hide employee dashboard when you want more space for the list; Show employee dashboard brings the summary back. Wide tables can scroll horizontally to show columns beyond the screen.

Troubleshooting

ProblemWhat to check
No matching employeesCheck spelling, remove filter chips, and clear the search. A no-results list is different from a request that failed to load.
You cannot open the directoryAsk your administrator to review your employee-directory access.
An exact-number lookup failsCheck the full number and letter case, and confirm you are in the correct workspace.
A field or tab is unavailableAsk whether your account has access to that information; do not assume it is missing from the record.
The page reports a loading errorFollow the retry option shown. If it continues, give your administrator the page name, action, and message without sharing private employee details.
