Payment elections and files

A payment election chooses how an employee's net pay is split between saved bank and mobile-money destinations. A payment file records instructions for an eligible payroll period. Neither saving a choice nor downloading a file transfers money.

Access needed

Access depends on your assigned permissions and workflow scope.

Read your own payment choices and masked destinations

Sign in with an account linked to your employee record. The Payroll plan feature is required; administrative payroll permissions are not needed for own-record viewing.

Role and permission labels

Typical responsibility: Employee. Role names alone do not grant access.

Save your own payment election

The current sign-in must have completed MFA. Each selected method must already be available from the employee record. Exactly one remainder is required. This does not change the destination account itself.

Role and permission labels

Typical responsibility: Employee. Role names alone do not grant access.

Read the workspace payment-election register
payroll.read

This is read-only access to payroll-held employee payment choices; it does not override employee elections.

Role and permission labels

Typical responsibility: Payroll reader. Role names alone do not grant access.

  • Read payroll periods and results
Download an Approved/Finalized period payment file
payroll.manage

Period browsing separately needs payroll.read. File downloads expose full account numbers and are audited. A download does not execute a payment.

Role and permission labels

Typical responsibility: Authorized payroll operator. Role names alone do not grant access.

  • Manage payroll runs

Demo screenshots may show broader access than your account.

For employees: review how pay is received

Open My Workspace → Payment elections. Check How pay is received, the selected or default choice, Last updated, Bank account and Mobile money. Account numbers are masked; this page is not a way to reveal the full bank account number.

Review your payment choice
Default allocation is not confirmation of payment.

Without a saved valid election, the default allocates all net pay to the bank account on file, otherwise mobile money, otherwise cash. Cash is a fallback default, not a method you can add as a custom split. The demo has neither saved destination and shows the default cash choice.

Confirm destinations and MFA first

Use Request bank account change or Request mobile money change when the saved destination needs adding or correcting. Those actions follow the employee change-request workflow; changing the split does not edit the account itself. See Employee change requests.

Check the sign-in requirement
No authenticator or payment destination was configured for this example.

The demo's change controls are disabled for its current sign-in. No MFA setup, credential change or destination change was performed for this guide. Follow Sign in and account access for the account workflow.

Change an eligible payment election

When your authenticated session and saved destinations permit it, select Change payment choices.

  1. Choose available methods

Use Receive pay through to choose a saved bank or mobile-money destination. Split is available when both methods are available.

  2. Define one portion when splitting

Choose Send a portion to, then Amount or percentage. Enter a positive fixed amount or a percentage greater than zero and below100, with no more than two decimals.

  3. Review the remainder

The other destination receives what remains. Exactly one destination must receive the remainder so the whole net pay is allocated.

  4. Check the preview and save

Inspect Payment allocation preview and any validation messages, then select Save payment choices once. Wait for success and verify the saved methods, split and update information.

Fixed amounts are in the payslip's currency. A fixed portion is limited to the net pay available, and the remainder gets what is left. Percent amounts are rounded to cents, with the rounding difference going to the remainder. Zero-value payment rows are omitted from the file.

These save instructions follow the current form and documented rules. The demo has no eligible destinations or MFA-authenticated session, so a populated split/save was not demonstrated.

For payroll staff: read payment choices

Open Payroll processing → Payment elections. This read-only staff register shows employees whose payment details have reached payroll. Review employee identity, Payment choices, Selection and Last updated, using Filter and Refresh as needed. Employees manage their own elections; payroll-read access does not provide an administrative override for their splits.

Read workspace payment choices
This register is read-only and can differ from the employee default view.

The staff register can be empty even while an employee's own view shows a default cash choice. It lists the payment details payroll holds; it is not the full employee directory. After an approved destination change, verify that payroll has received it rather than submitting duplicate change requests.

Download a payment file for an eligible run

A payment file is available only for an Approved or Finalized period. Open the intended period and use its payment-file action where offered. Read Download payment file, confirm the period, and inspect the private-data and validation warnings before downloading.

The file has one row per payment destination and employee, with the method, destination, amount, currency and period. Verify that each employee's destination rows reconcile with net pay and that the intended current payment choices and destinations apply. A split can produce two rows for one employee.

If the file cannot be prepared or a stored account cannot be decrypted, stop and ask the administrator to investigate. Do not manually invent an account number or bypass a failed validation. The current demo run is Draft, so no eligible payment-file dialog or download was exercised.

Troubleshooting

ProblemWhat to check
Change controls are disabledCheck the employee link, current MFA sign-in and available saved destinations.
Bank or mobile money is missingUse the approved employee-detail change process and verify that payroll received it.
Cash is shown unexpectedlyDefault selection falls back to cash when neither destination is available.
A percentage is refusedIt must be above zero and below100, with no more than two decimals.
A split does not cover all net payExactly one entry must receive the remainder; review the form's validation.
Staff cannot edit employee splitsThe staff register is for reading; employees change their own choices after MFA.
A payment file is unavailableCheck Approved/Finalized status and payroll.manage access.
The file cannot decrypt an accountEscalate the stored-account encryption problem; do not substitute guessed details.
A download occurred but payment is unknownDownloading does not execute or confirm payment.
