Payslips and employee pay access
A payslip is an issued record created when payroll is finalized. Employees use My Workspace to read their own payslips; authorized payroll staff can read the wider register. A calculated transaction, issued payslip and completed payment are different records.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read your own issued payslips, PDFs and year-to-date totals
Sign in with an account linked to your employee record. The Payroll plan feature is required. No administrative payroll or workspace-wide payslip permission is needed.
Role and permission labels
Typical responsibility: Employee. Role names alone do not grant access.
- List/read all employees’ payslips and PDFs
payslips.readThis permits workspace-wide payslip access. It does not grant approval, finalization or compensation changes.
Role and permission labels
Typical responsibility: Authorized payslip reader. Role names alone do not grant access.
- Read workspace payslips
- Use the staff payroll-period lookup
payroll.readSeparate from payslips.read. A missing period lookup should be distinguished from access to the payslip itself.
Role and permission labels
Typical responsibility: Authorized payroll reader. Role names alone do not grant access.
- Read payroll periods and results
- Issue payslips by finalizing an Approved run
payroll.finalizeOrdinary payslip-read access does not issue records. Reading periods separately needs payroll.read. Finalization locks/issuance rules apply and no bank payment is executed by the viewer.
Role and permission labels
Typical responsibility: Authorized finalizer. Role names alone do not grant access.
- Finalize payroll runs
Demo screenshots may show broader access than your account.
For employees: open your payslips
Open My Workspace → Pay → Payslips. Your account must be linked to your employee record. Review the period, Gross pay, Deductions, Net pay and Issued date. Use sorting and available filters, then Refresh if an expected issued record is missing.
Read an issued payslip
When a payslip is listed, open its View action. Check the employee, period and currency before reading the breakdown.
- Check the summary
Review Gross pay, Total deductions and Net pay in the same currency.
- Read earnings and deductions
Inspect base salary, allowances, overtime and unpaid-leave adjustments, then PAYE, employee NASSCORP and other deductions. Do not count overtime or statutory deductions twice.
- Review time adjustments
Check paid/unpaid leave days, overtime hours and any part-period pay dates and segments. Period earnings can differ from the full monthly salary.
- Check issue details
Read the issuance information separately from payment confirmation. Raise discrepancies with payroll staff using the period and employee reference.
The current application provides Pay summary, Earnings, Deductions, Time and pay adjustments, and Issue details. No populated payslip-detail screenshot was captured because the demo has not issued one. Employee pay records shows the existing fictional transaction and its proration; that transaction is not being presented as a payslip.
Preview or download a PDF
From an issued payslip, use Preview PDF to inspect the stored document or Download PDF to save it. A row's Download action also retrieves the PDF. Wait for preparation or downloading to finish before trying again.
If a preview or download fails, read the error and retry from the current authorized payslip view. Ask payroll staff to check the issued record if its PDF remains unavailable. Do not repeatedly finalize a period to try to repair a download. Payslips already created are not recreated by finalization.
Read your year-to-date totals
Switch to Year-to-date, choose the year, and select a currency when offered. The summary uses issued payslips whose payroll period ended in that calendar year. It does not include an unfinalized calculation merely because its transaction already exists.
For example, a period ending in January belongs to January's year even if it began in December. Currency totals remain separate. A year with no issued payslips shows zero totals and zero issued payslips; it is not a statement that no compensation record exists.
Employee NASSCORP reduces employee net pay; employer NASSCORP is separate. Other deductions do not repeat PAYE and NASSCORP. Use the underlying payslips to investigate a total rather than changing compensation to make the summary match an estimate.
For payroll staff: browse issued records
Open Payroll processing → Payslips. This wider view requires workspace-wide payslip-read access. Inspect the employee number, period, amounts, issue date and Notified indicator.
Use Filter to narrow by Payroll period, Employee or Employee notified. Remove restrictive chips or Reset before concluding no payslips were issued. Period filtering can require separate period-read access; it does not change the employee's own-record access rule.
Correct questions through the right workflow
For a missing record, check finalization and employee inclusion. For an incorrect amount, compare the issued record with the period and source inputs using the organization's payroll correction process. Issued payslips are not edited through the payslip viewer, and a compensation change does not automatically rewrite them.
See Approve and finalize payroll for issuance and lock rules, and Review payroll transactions for the underlying calculation. Annual tax statements and payment elections have their own workflows; they are not changes to a payslip PDF.
What was verified
The employee Payslips and Year-to-date starting states, payroll-wide empty list and filter menu were checked in the live demo. The two employee screenshots reuse the shared captures from the overview. No finalization, PDF rendering, saved PDF download or restricted-role test was performed in this pass.
Use Annual tax statements for staff generation and employee annual PDFs.
Troubleshooting
| Problem | What to check |
|---|---|
| My Pay is unavailable | Check the account's employee link and the Payroll plan feature. |
| A calculated result has no payslip | Payslips are issued at finalization, not calculation or approval. |
| Another employee's payslip is unavailable | Own-record access does not grant workspace-wide payslip access. |
| The staff register is empty | Check employee/period/notified filters and whether any period was finalized. |
| Year-to-date seems too low | Check period end year, currency and issued payslip count. |
| Preview or download fails | Retry from the current view and ask payroll staff to inspect the stored PDF. |
| Notified is shown but payment is unconfirmed | Notification and payment are separate processes. |
| A pay change did not alter an issued slip | Issued records are not rewritten automatically by source edits. |
