Request leave
Use your own Leave page to request time away and follow its approval. Check the dates, leave type, working-day count, and any balance warnings before submitting. Wait for the recorded approval outcome before treating the request as approved.
Access needed
Access depends on your assigned permissions and workflow scope.
- Read your own requests and submit leave
leave.requests.submitSign in with an account linked to your employee record. This grants only your permitted own-data scope. Editing and cancelling additionally follow ownership, status, first-approval and start-date rules.
Role and permission labels
Typical responsibility: Employee. Role names alone do not grant access.
- Submit and maintain leave requests
- Submit, edit or cancel on another employee’s behalf
- All:
leave.requests.submitleave.requests.manageThese permissions do not grant approval. Reading the full request list separately needs leave.requests.read.
Role and permission labels
Typical responsibility: HR administrator. Role names alone do not grant access.
- Submit and maintain leave requests
- Manage other employees’ leave requests
- Choose an active leave type
leave.types.readType lookup is separate from submitting the request. An active type and all balance/date checks are still required.

- Read leave types and policies
Demo screenshots may show broader access than your account.
Start from your own Leave page
Open My Workspace → Leave. Your sign-in account must be linked to your employee record. Use Leave requests for requests, Leave balances for tracked allowances, and History to find past requests. Read access to someone else's record does not allow you to request leave for them.
In Leave balances, check the leave year and the Available, Pending, Taken, and Can request columns. Can request is available minus existing pending requests. An empty balance list is not proof of unlimited leave; HR may still need to configure a policy or accruals may not have been recorded yet.
Choose your dates
- Open Request leave
On Leave requests, select Request leave. Confirm the employee shown is you. Authorized staff submitting on someone else's behalf can have an additional employee-selection step.
- Select the date range
On Dates, choose the first and last day using the calendar. Move between months when needed. For a single day, choose the same date for both endpoints.
- Check booked leave
Pending and approved requests can block overlapping dates. Do not submit a duplicate for already-booked leave. Review the existing request or arrange an authorized correction.
- Continue to review
Check the selected range, then select Continue. Use Change dates or Back if it needs correction.
The first and last dates are inclusive. Requests must include at least one working day. Weekends and holidays within a booked range can still be unavailable for an overlapping request, even though those dates may not count as working days.
Choose a leave type
Select Leave type on Details and review. Read its Paid or Unpaid label and available Leave guidance. Choose the category that matches your request; do not change the category simply to avoid a balance warning.
Add a reason when useful or required by your organization's process. Keep it concise and within 2,000 characters. Avoid including unnecessary sensitive details. View balances opens the employee's balance information without submitting the request.
If no leave types are available, ask HR to configure an active type. Do not create a holiday as a substitute for personal leave.
Read the preview
The preview shows Total request in working days. Where balances are tracked, it also shows availability after existing pending requests and the balance after this proposed request. Read every warning before submitting.
A configured annual entitlement does not necessarily mean those days have already accrued. The request preview uses recorded accruals; it does not forecast future accruals. A type with no balance policy instead says Balances are not tracked for this leave type. Neither message is a final approval.
The example spans November 4–6 but counts two working days because the workspace holiday on November 5 is excluded. Your own result depends on the calendar and holidays applicable to the request. Paid/unpaid treatment comes from the leave type, not from the holiday name.
If the preview is unavailable, use Retry preview when offered. Submission is still validated. Correct overlapping dates, inactive types, per-request limits, service requirements, or insufficient balances through the appropriate process rather than repeatedly submitting unchanged information.
Submit and check the result
When the details are correct, select Submit request once and wait for the result. Check that the request appears with the correct dates, type, working days, and status. If an error appears, keep the form open, read the message, and correct its cause before trying again.
The example is Pending at the Manager stage. This records a successful submission, not approved leave. If the assigned approver is Unassigned, ask HR to check review coverage; do not assume the request was rejected or approved automatically.
Follow approval progress
Open the request row to inspect Details, its approval flow, assigned approver, stage, and request history. A request configured for manager followed by HR can remain Pending after its first approval. Check for final Approved status.
| Status | What to do |
|---|---|
| Pending | Wait for review, check the assignment, or make permitted changes before review progresses. |
| Approved | Verify the approved dates. Coordinate any later change through the allowed cancellation process. |
| Rejected | Read the recorded rejection reason and discuss any correction or replacement request. |
| Cancelled | The request is no longer active. Check the recorded dates before submitting another request. |
The example account can inspect its own request but cannot approve or reject it. A different eligible reviewer must act.
Change or cancel a request
Use Edit or Edit request when offered. Editing is limited to a Pending request before its first approval. Review the updated dates and type, then save and verify the result.
Use the request's options to cancel when permitted and read the confirmation. Employees can cancel a Pending request, or an Approved request before it starts. If the action is unavailable, contact HR. Cancelling is different from permanently deleting a record; deletion is not part of the employee workflow.
No edit or cancellation was executed for the pending demo request shown here. The screenshots preserve it for a separate review example.
Troubleshooting
| Problem | What to check |
|---|---|
| Your Leave page is unavailable | Ask your administrator to check the employee link and your submission access. |
| No leave types appear | Ask HR to check that an appropriate active type exists. |
| Dates are blocked | Review existing Pending or Approved requests for overlapping coverage. |
| Working days differ from calendar days | Check the workspace working week and holidays, including annual holidays stored in earlier years. |
| The preview shows too few days available | Check the leave year, recorded accruals, pending requests, and the applicable balance policy. |
| Your request is still Pending after one approval | Check whether the stored approval flow also needs HR review. |
| An older request is missing | Check History and the date/status filters; a current-requests view is not the full history. |
| Editing or cancelling is unavailable | Check the status, review progress, start date, and your access; contact HR when needed. |
